Here is an update on the status of the working group documents. Papers =
from groups 1 (general principles) and 6 (when to create a new record) =
have already been posted. Group 4 (collection-level) will have their =
paper ready very soon. Groups 2 (transcription of early letter forms), 3 =
(machine-press materials), and 5 (problems and lacunae) are the three =
groups dealing with DCRB rules, and so the editing of these three will =
take place simultaneously and require more time. Group 2 is very nearly =
finished with their work, as is Group 3. The Group 5 paper is still =
being worked on.
Here is the revised editing plan. I will do the initial rough editing =
and integration of the work of the six groups, which will be prepared =
for discussion at the ALA summer meeting. After that time a small =
editorial group (who will be named shortly, I hope) will take over to do =
the finer and more detailed editing and numbering. A glossary group is =
being formed, and that work will be carried on contemporaneously.=20
Elizabeth Robinson and I will be meeting with Barbara Tillett in the =
near future, at which time we should have some answers to 1) who our =
publisher is, 2) what kind of review process LC wants to have, and 3) =
some idea of the publishing timeline.=20
One dangling issue is that of the index. It may require a robust =
revision, especially if the numbering scheme changes much (I'm =
advocating more depth in sub-numbering, so that individual paragraphs =

As a check on the "table of last resort" in DCRM(B), Brian Hillyard has =
put together a survey worksheet to collect data on what catalogers =

IJUV survey worksheet

The Rare Books Department, Cambridge University Library, would like to
make the following comments on
"CONFERENCE DRAFT 20030313
DESCRIPTIVE CATALOGUING OF RARE MATERIALS
A statement of objectives and principles"
Page 3, line 5
Existing text: "exemplars at the item level"
Comment: Does "exemplars" here mean more than "examples" or "copies"? If
so, it seems to us that it would be simpler and clearer to use one of
the latter words.
Suggested revised wording: "examples at the item level" or "copies at
the item level"
Page 3, Objective 3
Existing text: "Users shall be able to investigate physical processes
and post-production history and context exemplified in materials
described"
Comment: Does not the mention only of "physical processes" make this
objective rather narrow (and there is rarely much to be said in a
catalogue record that is directly about physical processes)? For
example, a user might want to know about the printer/publisher of a book
in order to investigate not the physical processes involved in the
printing, but (say) that publisher's commercial policy. A reference to
"production" or "production history" seems to us to cover the ground
better. Also, are the words "exemplified in" essential? A user might
wish to investigate an item's provenance, etc., just for its own sake;
and the mention of "context" indicates that the user is not expected to
be interested solely in the material being described, but in related
matters also.
Suggested revised wording: Users shall be able to investigate the
production and post-production history and context of materials
described.
Objective 4:
Existing text: "Users shall be able to access materials whose production
or presentation characteristics deviate from modern conventions."
Comment: it seems to us that a better description of this objective
would be "to enable users to identify", rather than "to access", the
materials they need; and also that the relevant conventions (as referred
to in the next sentence, beginning "General cataloging codes ...") are
those followed by cataloguers, rather than by the producers of the
material.
Suggested revised wording: Users shall be able to identify material
whose distinguishing characteristics deviate from those described
according to modern cataloguing conventions.
Page 4: Principles a, last sentence of comment:
Existing text: "The principle enables distinguishing among items as well
as manifestations."
Comment: It seems to us that a principle of allowing users "to
distinguish ... different manifestations" does not include the
distinguishing of different items (meaning copies?) of the same
manifestation.
Suggested revised wording: omit the sentence (or, if we have
misunderstood it, revise it to show more clearly what is meant).
Page 4: Principles c:
Existing text: "... permits users to investigate physical process and
post-production history and context exemplifed in the item described"
Comment: acceptance of the revision suggested above of Objective 3 would
make necessary a revision of this wording, for example:
Suggested revised wording: ... enables users to investigate production
and post-production history and context of the manifestation and item
described.
Page 5: Principles d:
Existing text: "all elements of bibliographical significance"
Comment: Should there not be a definition, or a reference to a published
definition, of "bibliographical"? Scholars have differed in their view
of "bibliography": for example, McKerrow's "Introduction to
bibliography" (p. 121, beginning of chapter 7) says "Binding as an art
or craft lies outside our subject" - I don't think we should want to
take that view.
Page 5, penultimate line:
Existing text: "DCRM shall carefully consider alternate wording"
Comment: would it not be simpler to say just "use other" instead of
"carefully consider alternate" - we can surely take it for granted that
the wording will have been carefully considered.
Suggested revised wording: DCRM shall use other wording.

Page 1, last paragraph but 2
Existing text:
"there is an explicit indication of changes of content (including
corrections) - e.g. a statement of responsibility or an edition
statement has been added, deleted or changed; there is a significant
difference in the statement of extent and/or in the bibliographic
format"
Comment: "e.g." seems rather odd here: the circumstances mentioned
following "e.g." (added statement of responsibility, etc.) are evidence
that there is a new publication unit, but none of them, in themselves,
need indicate a change of content.
Suggested revised wording: delete "- e.g. a statement -- format"
following "corrections)", and insert "a statement -- format", or as much
of it as seems useful, in the next paragraph, following "new publication
unit (e.g."
Page 1, penultimate paragraph, and top of page 2
Existing text: "more recent data than that provided on the original
title-page" (as a condition requiring a new record) and on p. 2, "a
difference in printing or copyright date when there is also a
publication date" (as a condition not requiring a new record)
Comment: Is the implication that a change of publication date always
requires a new record? This does not seem to us self-evident, when a
modern reprint is being treated as rare material. We do not wish to
propose a wording or to lay down a rule, but we think that it should be
stated explicitly whether or not it is thought that a change of
publication date always requires a new record.
Page 2, top, list of conditions not requiring a new record
Existing text: "a difference in a statement or printing", etc.
Comment: Except for the 5th condition (inserted publisher's
advertisements), and possibly the 4th (difference in binding - but can
one talk about publisher's bindings before the 19th century?) these are
only likely to apply to 19th century and later books (at least as
conditions not requiring a new record: a change of printer, at the time
when printers and publishers were not clearly distinguished, surely
would require a new record). But there are differences in pre-19th
century books that need not require a new record, such as minor changes
to tne text, or a difference in the paper.
Suggested revised wording: amend the list beginning "a difference in a
statement of printing" to read:
- a difference in the typesetting affecting only a small part of the
item, or the alteration, addition, or deletion of a small amount of
material, unaccompanied by cancellation of, or substantial stop-press
change to, the title-page
- a difference in the size or quality of the paper
- a difference in binding or wrapper that does not provide evidence of a
discrete publishing unit (e.g. a change of colour in publisher's cloth)
- a difference relating to inserted publisher's advertisements and
catalogs (unless they are integral to the publication)
The following apply only ro 19th century and later books:
- a difference in a statement of printing (e.g. 5th printing)
- a difference in the printer or other manufacturer
- a difference in printing or copyright date when there is also a
publication date
- the addition, deletion or change of an ISBN

Subject: [DCRB-L] Proposal regarding description of "folders"

Proposal for revised description of "folders." (DCRB 5B15; glossary)
There are several problems in the rules governing the cataloging of "folders" in DCRB. One is that it can be difficult for catalogers to understand what is being described. Another is that the counting of "pages" causes problems of its own, given the propensity of this kind of publication for unpredictable printing patterns.
To address the first problem, I propose that we drop the term "folder." Its DCRB glossary definition is peculiar to this context, and to the rest of world (even the library and archives world) it has a different meaning. It is not defined in AACR2.
To address the second, I propose that we stop trying to count "pages" and rather count "panels." The latter are easily identifiable and countable, as well as easily understandable to the user.
I can think of a couple of ways to implement these proposals, and currently have no preference. Question: should we try to represent panel numbering?
300 1 sheet (16 panels) ; 36 x 24 cm. folded to 18 x 12 cm.
300 1 folded sheet (16 panels) ; 18 x 12 cm.
or
300 1 folded sheet (13, [3] panels) ; 18 x 12 cm.
or some combination thereof.

Dear colleagues,
FYI, this is the record of the decisions WG5 (problems and lacunae) reached during the DCRM Conference. The marking up of text based on these decisions is currently ongoing. At some point and in some place we would like to set out the arguments for the changes the group accepted or rejected, whether it be this summary augmented, or as part of the presentation of a new draft of the rules.

WG5 Summary of Decisions
General
Confirm that transcription from the item must follow general rules of transcription. (Cf. 2B1)
Confirm that mandatory note must accompany any transposition of areas or elements on t.p. (Cf. areas 2 & 4)
Use of "i.e." in parenthetical qualifiers restricted to correction of errors; not used for clarification or expansion.
0E. Do not add punctuation that is not there in the original punctuation option. (WG2)
1A2. Remove "dedications" and "statements of patronage" from list of data that may be silently omitted
1B1. Transposition of separable authors' names.
Current practice of Ex. 36 reaffirmed (T. Lucretius Carus Of the nature of things). Despite Brian's persuasive argument, we agreed that it is too much a slippery slope to talk about printer's intention regarding language rather than characters. Will, however, drop phrase "grammatically linked" wherever it appears in the text, since all sentences are grammatically linked, and succintly define "grammatically inseparable" the first time it appears and/or in glossary. Follow-up note: AACR2 A.4D uses term "grammatically independent", which it takes to be something that is not "grammatically linked." While rejecting the latter as nonsensical, we may perhaps use the former instead of "grammatically separable."
1D. (accept from WG3). Treat illustration statements that do not contain statements of responsibility as other title information.
1G9. ([edited by] ...)Will keep this rule. Adopt ISBD(A) 1.5.4.10 wording, tweaked to fit DCRM .
2B1. Abbreviations for edition statements taken from the t.p. verso. Treat edition statements like any other; transcribe from prescribed sources; may record using standard abbreviations &c. if taken from any other source in the publication than prescribed sources. 2B5 will be kept to encourage the recording of edition information from sources outside the publication. General principle affirmed that anything transcribed from the source will follow general transcription rules.
2B4. Accept Manon's addition. [Do the same when the edition statement consists solely of words that convey numbers. If no appropriate word or abbreviation can be determined, or in cases of doubt, simply leave the statement as is.

Elizabeth will write up a proposal about requiring a note if one is not sure about the appropriateness of the accompanying word.
Area 4 (from WG3/WG5 joint meeting). Will need to rewrite the first paragraph in 4. Joe says that if we rewrite the rules so that there is no presumption of everything going in $a$b, it might not be so problematic.
Perhaps we can word it so that when the function of manufacturer clearly subordinated, it goes into the manufacturer element.
ISBD(A) may solve the problem.
Let's draft something that seems to cover both cases and then tweak the document. I will draft something, send it to Joe and let him revise, then we will send to Jane & Manon.
4D2. WG3 agrees to our proposals on copyright. Need to verify whether the copyright symbol is in the character set. If not, investigate whether there is firm instruction on transcribing this symbol as a 'c'.
4A4. Accepted need for marc-tagged examples. Follow-up: rejected in plenary
4A6, 5B18. Need a reference in the text to collection-level rules. Move information contained in 4A6 to the text at beginning of section 4. Consult WG4 re: desires about existing rules in DCRB. Also 5B18

If considered necessary for identification, supply in square brackets the modern English form of the name of the place.

4C2. Remove instruction to generally omit addresses and qualifications, making it instead more neutral.
If a statement such as "Privately printed" appears on the title page, record transcribe it as, or as part of, the publisher statement. Generally, review DCRM language for ambiguous references
4C6. For lengthy imprints, allow omission only after the 3rd name. . Summarize the number of firms and place names in the omitted part. Give example of counting firms vs. individual names.
2nd par. Remove exception about not combining in an element data taken from different sources. Work with WG3 to come up with language and examples.
4D2. Disallow silent conversion of roman dates to arabic. Add an example in which a full date is not given, such as Joe's "25th year" to show how an "i.e." is not included in the arabic. Joe to provide us with an example.
Remove instruction to add copyright date after publication date.
Restrictions on copyright dates. Agreement with WG3.
4D4. Transcribe the date of copyright as a substitute for an unknown date of publication or printing.

Add a second example showing a supplied date and quoted "copyright"statement.
Example of an obviously early copyright date, corrected in square brackets with more current date.
4D7. Include in example one where a multi-volume set changes from arabic to roman.
5B3. Keep 3rd option for numerous sequences , <1 v. (various pagings) > but change language to make it clear this is a last resort
5B6. 1st par. Show example of publication numbered [i]-xii, [1], 14-176.
5B7. Eliminate second example. Replace the note underneath the 3rd example, for internally non-self-correcting errors in pagination.
5B9. Do not treat any illustrated title page (including an engraved title page) as a plate (cf. 5C1). ). [Review discussions of BDRB revision. Joe remembers a very convoluted process and decision.] Larry suggests that we try to recover earlier discussions. DJL will write and post a recommendation.
Incorporate WG3 option as amended about counting illustrations as plates if unnumbered and pages if included in the pagination.
Books in which engraved leaves are the main sequence are to be recorded as "pages" or "leaves", not including the "of plates." |b to be used only if there are true illustrations. A note should be made if wholly engraved.
5B9. Allow counting of numbered plates except for frontispiece, by adding example to show the use of an initial unnumbered frontispiece and all plates subsequently.
When plates are the main sequence (as in calligraphy, &c. books), do not use "of plates" in the 300$a. Instead, use only "leaves" or "pages" as appropriate.
5B15. Working with WG3 for better guidance on how to count pages for folders.
5B17. Difference of bibliographical volumes and physical issuing units. Majority preferred keeping it as it is. Follow-up: overturned in plenary. There is no rare book reason for this disparity with AACR2.
5B18. Delete in favor of appendix for collection-level rules (same decision as for 4A6). No additional note or reference needed.
5C1. Change example from metal cuts.
5C2. Eliminate diagrams with intention of restricting use to terms shown. Follow-up: overturned in plenary
5D1. I don't have any notes recorded on whether we decided to change the measurement of binding to text from Hinman recommendations.
Area 7. Promote use of standardized terminology (from thesauri) and other conventions of transcriptions (especially for illegible text, expansions) in note area.
7C6. Capitalization confusion: A lover of truth. Change accepted to a Lover of Truth. Cf. AACR2 A.2B1, A.4F1 Follow-up: If recommendation is adopted not to change lower- to uppercase, this may be moot.
Add example of diffuse attribution of authorship; also, one with a certain attribution with other previous attributions. Use "also attributed to" instead of "variously". DJL to come up with these examples.
7C9. Change the emphasis of the rule, allowing for use of Greek characters if available.
Provide example of superscript 8.4
7C18. Copy-specific notes. Brian wants to provide more guidance for catalogers describing, especially provenance and binding. MARC 563 for bindings, 561 for provenance. (Verify numbers). Brian suggested we might collaborate with David Pearson to work up an expanded 7C18. Appoint a sub-group to work on these things. Perhaps introduce language encouraging the linking of images. Follow-up:Jim Larrabee and Jennifer Roper to work on this.
All copy-specific notes should have an indication of the institution. Give example of 590 "Folger copy", or 500|5DFo.
No definition of imperfect needed, but add a statement requiring that a note on imperfections be prefaced with "Imperfect:" Follow-up: I didn't record why we decided that a definition of "imperfect" was unnecessary; can someone remind me? Elsewhere WG2 recommends that "perfect" be added to the glossary. Would this change our decision?
7C19. Confusion between issued with and bound with. Elizabeth Robinson drafted a re-writing to be explicit about "Bound with" and correlate it with 1E2.
Appendix A. If a statement of responsibility is transposed, suggest that a title added entry beginning with the author's name if there is any reasonable thought that might be access . (Cf. 1B1).
Appendix B ss guidance. Transcribe ess-zet as ss, ligatured sz as ss, and separate sz as sz. In case of doubt, transcribe as ss.
Glossary. Title leaf. Add "recto of the" to definition of title page, and eliminate the second section.
Add definition for integral. Glossary issues to be dealt with separately.
Follow up
DJL to write position paper on the treatment of engraved t.p.'s as plates and letterpress tables.

I agree with Deborah that the counting of pages has always been
problematic, particularly when one page fills a full side and then several
other pages are on the other side. Another problematic situation arises
when there are blank pages complicating the situation. I like Deborah's
solution, but think we need to have some explicit definition of "panel" and
instructions on how to deal with blank panels.

I remember years ago when using DCRB asking Ben Tucker for guidance on this
problem. He said that at LC they noted an engraved t.p. not included in a
gathering in the signature statement:

At the DCRB Revision Conference, it was pointed out that the current
definition of "coloured illustration" in AACR makes no sense, and I
volunteered to write a rule revision proposal.
The proposal has been sent to CC:DA for review and I expect that they will
approve it and that it will be discussed by the Joint Steering Committee at
their meeting in September 2003; the change might even be included in the
2004 revision package (which we expect to appear around July 2004).
I'm attaching a copy of the proposal since it is (a) rather brief and (b)
mildly amusing; I had fun writing it and hope that you enjoy reading
it. At the same time, I made it clear that this is a serious proposal and
is based on an important principle.

I agree with Jane; black and white are two colors, and grayscale will
perhaps make more than three, but no one would mistake them for 'colored'
illustrations. As far as the RBMS logo goes, we have used "red and black"
for years to describe just that. I do think that 'sepia' might best be
described as sepia, since it is a single, recognizable color tone that is
familiar to everyone in our line of work and to most of our client
population as well. It would be simple enough for most of us to describe
what we see, I think, but perhaps it is time for experts in the field of
rare and medium-rare illustration to weigh in here. Do we need a specific,
or non-specific definition of 'colored'? Or can we just say (as they do in
some dog show classes) "any colors other than black or sepia"? (ok, ok,
they don't describe dogs as "sepia", but ASCOB is just slightly more arcane).

I agree with Jane; black and white are two colors, and grayscale will
perhaps make more than three, but no one would mistake them for 'colored'
illustrations. As far as the RBMS logo goes, we have used "red and
black" for years to describe just that. I do think that
'sepia' might best be described as sepia, since it is a single,
recognizable color tone that is familiar to everyone in our line of work
and to most of our client population as well. It would be simple
enough for most of us to describe what we see, I think, but perhaps it is
time for experts in the field of rare and medium-rare illustration to
weigh in here. Do we need a specific, or non-specific definition of
'colored'? Or can we just say (as they do in some dog show classes)
"any colors other than black or sepia"? (ok, ok, they don't
describe dogs as "sepia", but ASCOB is just slightly more
arcane).

"Not Colored", to me, is something that is black, white
and/or grayscale. "Colored" has at least one color,
other than black, white or grayscale. (I don't know about

What if we were to specify that a colored illustration is one that is
printed in at least two different colors of ink? It's easy to understand,
and I believe that is the original intent of the clumsy wording. And the
RBMS logo would qualify as colored.
This does not consider the case of hand-coloring, however, and I have
some issues with WG3 recommendations regarding that, which I will post in
due time.

Jane Gillis's example is one of the reasons I like the distinction made
in the 007 when cataloguing visual materials: one [not black] colour is
distinguished both from multi-colour and from black-and-white. This
makes it possible to identify works that will be intelligible in
microfilm or standard b&w photos from those that would require the extra
expense of colour photography (e.g. for off-site scholars ordering study
copies, or for authors on a strict budget looking for images to
reproduce in their books).
That being said, my concern about the rule refers to the word "coloured"
in the guideline rather than the end result in the catalogue record: is
it possible the rule could use the broader term "colour" rather than
"coloured" when definining terms? The action implied by the "ed" in
"coloured" is conventionally used by art historians and visual materials
cataloguers to distinguish works that were created in colour from those
that have been coloured at some later point. [e.g. Graphic Materials
3C4.1 "Color refers to material in which color is an inherent part of
the original creation. Hand-colored refers to materials to which color
is applied in a later stage, by hand, stencil, or other method. When in
doubt as to whether a piece is hand-colored, use color."]
It should be remembered, though, that the definition in Graphic
Materials does not mean that "hand-coloured" is copy-specific and
"colour" is not. A colour illustration printed from multiple
single-colour plates, and a colour illustration printed in "one go" from
a plate dabbed with multiple colours are both "colour". The former tend
to be uniform; the latter allow for more individual variation. Oh well.
